Real Time Collaboration of Sales Documents in Zoho CRM

Zoho CRM has for a while now had a Document Management module as standard that provided the means to upload and store / share documents between sales, marketing and support users.


These documents could be such things as sales contracts, marketing brochures, invoices and so on.


Now though, Zoho have gone a step further to introduce chat collaboration and real time editing in this module, utilising some of the features available in their online document management solution, Zoho Docs.

Why is This Useful?


Say Janice, a Sales Manager in your organisation, is working on a Sales Contract such as an NDA or other important piece of documentation that is required in order to progress the sale... 


She can then invite other users in the CRM to check the document and if necessary, make changes to it.


Janice shares the document with Jon in the Legal team. Jon receives an alert and can login and take a look.  Once John checks the document, Janice also receives an alert and she can even chat with him online there and then to discuss the document and anything she is not sure about. 


The cleverest part is that users can see changes anyone is making and the result is that a single version of the document is updated and finalised much more quickly than if people in different teams sent the document around as an attachment on email, which often results in confusion over versions and who changed what!


The new Zoho CRM online document collaboration function is available using Zoho Sheet, Zoho Writer and Zoho Show, catering for spreadsheets, documents and presentation style documents.
