Present More Effectively Using the New Whiteboard Function in Zoho Meeting

Zoho Meeting has a new feature: a collaborative whiteboard.

Presenters can now use the whiteboard feature to do simple drawings, real time presentations with flow charts, shapes and images, text boxes and so on, using the whiteboard to dynamically add/remove or move them around as the presentation progresses.

This feature is especially useful for teachers/educators who need to utilise a virtual white board - of, for those of us who remember them, a virtual blackboard with chalk!

Teachers can use this to demonstrate the topics/points they are making or even to allow anyone in the meeting to collaborate on the same whiteboard. This is espcially useful when teaching kids or young learners who may need that extra engagement during online lessons.

There are some other features that are worth noting:

Shape Recognition

Drawing with a mouse is not easy, but Zoho Meeting's shape recognition function recognises rough sketches and converts them into perfect on screen shapes on the whiteboard.

Text and Text Styles

Insert text boxes, adjust fonts and styles and use bullets/numbers.

Insert Images

Upload images from your local drive and opt to add them to the whiteboard library for use later on.

Flowchart Shapes

Use a simple library of flowchart shapesto help demonstrate process or information flows.

Download Whiteboard

A useful feature is that when the whiteboard is 'full' or 'complete', it can be downlaoded as an image for all attendees to refer to at a later date.

Workflow Automation Using Zoho Flow

If you have a number of cloud based apps such as Zoho CRM, Xero, Eventbrite etc running as tools in your business, and are wondering how to connect them together to be more streamlined, then Zoho's newest business app could be for you.

Zoho have recently released a really great app called Zoho Flow, which is basically workflow automation software allowing you to connect together Zoho and other 3rd party apps/ so they effectively communicate to eachother and can then be used to trigger certain workflow tasks or functions based on criteria you define.

In the example screen shot above you can see apps such as Zoho CRM connecting with Zoho Desk, GMail and Slack!

Functions get triggered based on certain criteria you can define such as records being created, deal size or status, support ticket status and so on.

Time Support Work in Zoho Desk

Zoho Desk, the online helpdesk solution from Zoho, now has a timer function where support agents can either manually or automatically time the work taken to do customer support tickets.

The function is very cool and has been a long-standing request of Zoho and in their usual open minded way Zoho have listened to customer feedback and implemented this feature.

It allows agents to select the timer start button manually while they're working on a ticket or in the administration panel you can opt to do this automatically as soon as the ticket is opened, which gives an even more efficient way of timing work.

There are also features that will stop the timer if there is no activity for more than a defined period.

The end result of this accurate timing of support tickets is that you can run more accurate reports to show time taken on each individual customer and their support to kids but more importantly if you run a chargeable support platform then you are able to integrate Zoho Desk with Zoho Invoice and create invoices based on the time taken on tickets. this allows you to use a far more accurate billing system which your customers will love.

Design Data Displays Using Canvas

Zoho CRM has a very nice new feature called 'Canvas', which allows you to design they way you see your data in an intuitive and easy to use drag and drop interface.

Say for example, you have a CRM containing a list of customers - most of us do! - you can design the customer list view and also the custom single display view to include the image and fields in the exact way you choose. Before that the layout design was quite basic and consisted of one of two column fields in sections down the page.

On top of that you can add icons and colours to fields and text, to make it a truly customised design.

Once you have finalised your design you can add buttons and functions as well as titles and this applies to all of the modules in the CRM.

Once done preview the design and then save it to implement through your organisation.

Zoho Sprints is a new project management tool from Zoho specifically deigned for use with teams following the Agile project management methodology.

Zoho Sprints is designed in such a way that it enables a team to remain open to changes to the project by using the so-called 'scrum process'.

Zoho Sprints is designed to eliminate the heavy processes and clunky user interfaces often associated with complex change process in for example waterfall type projects.

Sprints and Backlogs

A Sprints project normally starts with a 'backlog', which is the task list, which can be prioritised and arranged in a 'scrum board'.

Scrum Board

The Scrum Board is a visual element where the tasks can be dragged around and categorised normally into To-do, In Progress or Done columns, as well as assigned user and durations. The key here is ease and speed of use and visual aesthetics to make it as easy as possible to move things around quickly and easily.

Time Tracking

Zoho Desk Gets a Makeover

Zoho Desk (formerly known as Zoho Support), the powerful and affordable online helpdesk solution by Zoho, has had a facelift recently, with numerous enhancements to the user interface.

The first of these, and the most obvious, is the menu structure, which now lists the main modules - Tickets, Knowledgebase, Customers, Reports - across the top of the screen, making it far easier to jump between the modules.

The next is a useful layout change opn the Ticket screen, which sees the sub categories now placed above the Ticket, in a linear menu format, which again means you can jump between the related sub categories of the Ticket easily and quickly.

Finally the Setup screen now opens on top of the existing screen, rather than reloading the browser and thus moving away from the previous screen, so you do not get 'lost' any more and can simply adjust any settings as needed, then close the Settings screen and contine where you left off.

We also really like this widget that's shown on each ticket when viewing the ticket details:

Easily check customer information, access 'Solutions' to ticket related problems, or get an insight into the history of the Ticket, without losing sight of the main Ticket window.
