I was going to develop the title with “new and easier” and if you are an existing Zoho Projects user you will know what I mean.

Without going into any details all I will say was that document management in Zoho Projects was clunky and leave it at that! 

Now we have an authentic, real deal document management application built into Zoho Projects. And it is powered by Zoho Docs.

Perhaps, I hear one or two “so what’s? 

Well the so what is, and many people may not be aware of this, you not only get a full blown document management application, you also get access to Zoho Writer, Zoho Sheet, and Zoho Show.

And that means you can create new documents, spreadsheets and presentations and collaborate, communicate and share them with your colleagues online, both internal and external, online.

You can now easily manage all your documents by uploading them into nested folders.

And then you can edit them using documents using Zoho Writer,Zoho Sheet, and Zoho Show document editors.

File sharing now becomes much easier too and when you create a document within Zoho Projects or upload it from an external device it is automatically shared to all project members. 

And that means your project team members,even external ones such as your customers and consultants, no matter where they are, can quickly and easily view and collaborate on the latest version of the document.    

But wait, it really does get better as you can now have more than one person working on the same document at the same time right within Zoho Projects.

So for example you need to get your customer to agree to a change to a project brief. A quick call to customers, collaborate and agree with them on the changes together, and save it. And rather than the call you can use the online document chat window.

Versioning? Of course. The document’s revision history allows you to return to, or check with, your previous versions. Now that is not only document management versioning; that is document management versioning right within your project management application.

Mail merge as a function that helps sales and other staff  in your business has been around for a while and Zoho CRM has had a mail merge function for a few years, integrating its online word processor app, Zoho Writer.

However, many users in our experience seem to overlook the fact it is there and we think Zoho CRM users could certainly make better use of it, to merge data in the CRM into printable documents, which can then be mailed to leads or customers.

The mail merge feature is fully built into Zoho CRM and is available as a Zoho Writer integration and also as a Zoho CRM plug in for Microsoft Office.

Zoho Writer allows you to use a normal web browser to create and share documents online.

The Zoho Writer integration allows users to create mail merge documents such as forms, letters, address labels, and address labels for envelopes.  

Isn’t there already an address label printing function? Yes, BUT… if you have found like us that this applies to what we are assuming is US centric label sizes then you can make use of the Zoho Writer integration to print labels for sizes better suited in your region, for example.

The Zoho CRM mail merge function really helps to reduce mundane work, which is a huge benefit especially for SMBs who need people to wear many hats and who cannot afford for staff to get embroiled in mundane work for any longer than is necessary.

By using the Zoho Writer integration your team can create personalised documents  containing so-called ‘merged fields’, e.g. salutation, given name, family name, address etc., finally resulting in a full document, specific to each record in your CRM. 

For example you want to send a printed newsletter to some premium customers - simply simply create a template with the merge fields from the contacts module generate the personalised newsletters. 

Or, you want to create a standardised contract for a new customer - simply create the template contract and insert the merged fields and then select that customer record to print the personalised contract.

Zoho CRM has for a while now had a Document Management module as standard that provided the means to upload and store / share documents between sales, marketing and support users.

These documents could be such things as sales contracts, marketing brochures, invoices and so on.

Now though, Zoho have gone a step further to introduce chat collaboration and real time editing in this module, utilising some of the features available in their online document management solution, Zoho Docs.

Why is This Useful?

Say Janice, a Sales Manager in your organisation, is working on a Sales Contract such as an NDA or other important piece of documentation that is required in order to progress the sale... 

She can then invite other users in the CRM to check the document and if necessary, make changes to it.

Janice shares the document with Jon in the Legal team. Jon receives an alert and can login and take a look.  Once John checks the document, Janice also receives an alert and she can even chat with him online there and then to discuss the document and anything she is not sure about. 

The cleverest part is that users can see changes anyone is making and the result is that a single version of the document is updated and finalised much more quickly than if people in different teams sent the document around as an attachment on email, which often results in confusion over versions and who changed what!

The new Zoho CRM online document collaboration function is available using Zoho Sheet, Zoho Writer and Zoho Show, catering for spreadsheets, documents and presentation style documents.
