Just a short blog to describe a feature that has been around almost for a couple of years now, but many people do not seem to be aware of.

It is the Zoho CRM voice note app for iPhone and Android devices. 

So the scenario is that you are not in a position to take down notes but you can record voice notes. 

Quickly record your thoughts after a recent meeting with a prospect and then easily associate the audio file with your relevant Zoho CRM record.

Go to a module and tap a record to which you want to add voice notes.

Tap Notes.

Tap the Voice Notes icon.

Tap the record icon to start and stop recording your notes.

Zoho have recently announced the online Zoho Expense tracker application that has been designed to save sales execs time when tracking their client related expenses.

Zoho Expense allows sales reps. to automate a number of financial management processes that takes away from the time that they should selling.

I was going to develop the title with “new and easier” and if you are an existing Zoho Projects user you will know what I mean.

Without going into any details all I will say was that document management in Zoho Projects was clunky and leave it at that! 

Now we have an authentic, real deal document management application built into Zoho Projects. And it is powered by Zoho Docs.

Perhaps, I hear one or two “so what’s? 

Well the so what is, and many people may not be aware of this, you not only get a full blown document management application, you also get access to Zoho Writer, Zoho Sheet, and Zoho Show.

And that means you can create new documents, spreadsheets and presentations and collaborate, communicate and share them with your colleagues online, both internal and external, online.

You can now easily manage all your documents by uploading them into nested folders.

And then you can edit them using documents using Zoho Writer,Zoho Sheet, and Zoho Show document editors.

File sharing now becomes much easier too and when you create a document within Zoho Projects or upload it from an external device it is automatically shared to all project members. 

And that means your project team members,even external ones such as your customers and consultants, no matter where they are, can quickly and easily view and collaborate on the latest version of the document.    

But wait, it really does get better as you can now have more than one person working on the same document at the same time right within Zoho Projects.

So for example you need to get your customer to agree to a change to a project brief. A quick call to customers, collaborate and agree with them on the changes together, and save it. And rather than the call you can use the online document chat window.

Versioning? Of course. The document’s revision history allows you to return to, or check with, your previous versions. Now that is not only document management versioning; that is document management versioning right within your project management application.

From day one at Mangoho we have been using Zoho Projects for both for our internal tasks and projects and our customer’ projects. 

Indeed all of the planning behind the launch of our company was managed by Zoho projects.

In the case of Zoho Projects this is in the form of an excellently developed GUI (Graphical User Interface) which brings a fresh design allied with a clean layout to project management that really does assist in collaboration and providing greater productivity to project team members.

Successful resource utilization is a priority for all project team members as we search for ways to better use people and also in cases where the project is for customers improve billable time and increase customer satisfaction.

So we are delighted that Zoho Projects now has the ability to set the number of hours for a task and be able to identify this in multiple ways - work hours per day, the percentage of hours per day, or just leave it at total work hours and then Zoho Projects will take over managing the duration. 

And what that means is that you can see if the work hours are below, near to or above the total available hours. 

In a neat touch a “see saw” GUI representation is presented to users showing allocated time vis a vis free time at either end.
